Agriculture Software — an ERP for a Farm That Tracks Every Hectare

Agriculture software from Saitami is an ERP system built for how a Bulgarian farm actually runs — parcels and field blocks, agronomic operations, land leases, the machinery fleet, grain, fertiliser and pesticide stores, yields and cost per hectare. Instead of parcels in Excel, lease contracts in a binder and machine fuel in a notebook, you get a single core that knows what a produced tonne costs from each block, when each lease expires and how much diesel was burned per hectare. We build the system custom on an ERP core, integrate it with accounting and roll it out in phases. Prices fixed in EUR, no per-user subscription.

Why Excel is not enough for a farm

A farm manages land, machines and a season — three things that do not forgive mistakes. When data lives in ten spreadsheets and the agronomist's head, each one is a hidden loss. These are the operational realities we fix before writing code.

  • Cost per hectare — nobody knows — the real cost of a tonne of wheat or sunflower from a given block is calculated once at the end of the crop year, if at all.
  • Lease contracts in a binder — hundreds of leases with different terms, rents and owners; nobody tracks which expires this year and who is paid in kind versus cash.
  • Fuel and machines with no log — diesel is dispensed from a tank, machines run with no recorded engine-hours per block; consumption is seen only when the fuel runs out.
  • Grain and pesticide stores on paper — silo stocks and fertiliser and pesticide stores are kept in a notebook; on an inspection the documentation does not reconcile.
  • Agronomic operations with no trail — which block was sprayed with what and when, which rate was applied — noted on paper and lost; traceability for subsidies and the buyer is missing.
  • Subsidies calculated by hand — areas by scheme, declared crops and what was actually sown are reconciled manually; an error in the application costs a penalty or a clawback.
  • Double entry with accounting — a fertiliser or seed invoice is typed once in the accounting software, once in the farm Excel; supplier balances never match.

What we deliver in the agriculture software

Parcels, blocks and leases

Each parcel with area, land-block code, owner, rent and contract term. A lease register with automatic reminders for expiring contracts and rent due.

Agronomic operations

Sowing, fertilising, spraying, harvest — each operation recorded by block, crop, rate, date, machine and operator. Full traceability for subsidies and the buyer.

Machinery fleet and fuel

Tractors, combines and implements with engine-hours, repairs and fuel consumption per operation and block. A register of insurance and technical inspections.

Stores — grain, fertiliser, pesticides

Silo and store stocks with lots and expiry dates for chemicals. Receiving from the field, dispatch to the buyer, stocktake.

Cost and yield per hectare

All costs — seed, fertiliser, fuel, labour, lease — accumulate per block. The system shows cost per tonne and real yield per hectare.

Subsidies and reports

Areas by scheme, declared and actually sown crops; support reports; data ready for the subsidy application.

How we deliver agriculture software

A farm runs by season — we cannot roll out software in the middle of harvest. So we split the rollout into 3-4 phases synced to the crop cycle, and start with parcels and leases outside the active season.

1. Farm analysis

We sit down with the owner, agronomist and accounting. We document the land structure, lease contracts, the machinery fleet, the stores and the accounting software. Output: a prioritised plan and a fixed EUR quote.

2. Parcels, leases and operations in 5-7 weeks

We ship the first working module — a parcel and block register, lease contracts with reminders and agronomic operation logging. The agronomist starts working inside the system from month one.

3. Machines, stores and cost

We add the machinery fleet with fuel, the grain and chemical stores and cost-per-hectare calculation. We connect the system to accounting for invoicing. Where the standard falls short, we write custom software. For the core see ERP system.

4. Training, reports and support

We train the agronomist, store keeper and accounting on real blocks, not a sandbox. We ship the subsidy and reporting module and stay on monthly support with a fixed SLA — same-business-day response in Bulgarian working hours.

Pricing and timeline for agriculture software

from €7,500
for phase 1 — parcels, leases, agronomic operations
5-7 wks
to first working module in real production use
€16,000-€38,000
for a full ERP with machines, stores, cost and subsidy reports

Monthly support from €320, no per-user fee — the farm grows and the price does not rise. Hosting €50-€140 per month. Code and data stay yours. See also ERP system for the financial core.

Frequently asked questions

How much does agriculture software cost?

Phase 1 — parcels, blocks, lease contracts and agronomic operations — starts from €7,500. A full ERP with machinery fleet, fuel, grain and chemical stores, cost per hectare and subsidy reports is €16,000-€38,000 depending on farm size. Monthly support from €320, with no per-user licence.

Does it manage lease contracts and rents?

Yes. Each lease is kept with parcel, owner, area, rent amount, payment method (cash or in kind) and term. The system reminds you which contracts expire this crop year and which rents are due, so you do not lose land or pay late.

Does it calculate real cost per hectare?

Yes. All costs — seed, fertiliser, pesticides, fuel, engine-hours, labour and lease — are recorded per block. At season-end the system shows cost per produced tonne and real yield per hectare, so you see which blocks and crops are profitable and which run at a loss.

Does it help with subsidy applications?

Yes. The system holds areas by scheme, declared and actually sown crops and the history of agronomic operations. This gives ready data and reports for the subsidy application and for traceability on inspection. The system is a support tool, not a substitute for official agency communication.

Why a custom ERP instead of an off-the-shelf farm product?

Off-the-shelf farm platforms often do not cover crop production, leasing, the machinery fleet and the link to Bulgarian accounting at once, and the subscription grows with the hectares. A custom ERP on a proven core is a one-off cost, fits your farm exactly and grows with the area with no per-user fee.

Ready for an ERP that knows every block?

Send a short brief — how many hectares you work, owned or leased, which crops you grow, the machinery fleet you have and the three most painful points today. Within 5 business days you get a phased plan with real EUR pricing.
