CRM for Insurance Brokers

A CRM for insurance brokers built by Saitami unifies policies, renewals and commissions in one system — no spreadsheets, no missed dates, no hand-calculated payouts. Built for brokerage houses that work with dozens of insurers.

What the system includes

Brokerage is portfolio maintenance, not selling. One missed renewal on a motor policy is a client lost for five years. One wrongly calculated commission on a bordereau is three insurers disputing at once. Our insurance broker CRM covers the entire cycle — from enquiry to renewal to paid-out commission.

  • Policies by type — separate records for motor (casco, MTPL), property, health, life, travel and accident. Each type has its own fields, documents, deadlines and renewal rules.
  • Automated renewal reminders — renewal automation engine triggers email, SMS and Viber to the client at 60, 30, 14 and 3 days before expiry, while the broker gets a pipeline task for a call. Outcome: +47% renewal rate.
  • Multi-insurer quoting — enter risk parameters once, system queries 6–12 insurers via API in parallel and returns a comparison sheet as PDF in under a minute.
  • Document flow and archive — policy, endorsements, claims, correspondence — all attached to the client card. Qualified electronic signature directly in the platform. GDPR retention rules automated.
  • Commission engine with sliding scale rules — percent per insurer, percent per product, bonus over threshold, agent override, retro adjustments. The engine reconciles against insurer bordereaux.
  • Payment reminders and client portal — clients see all their policies, download PDFs, pay instalments online and get automatic reminders before due dates. Fewer office calls, more on-time premiums.

Who it is for

Solo brokers and tied agents

A licensed broker with 200–600 clients and one assistant. A broker management system at this scale takes the load off the phone and runs nightly automations — reminders, quotes, invoices.

Boutique brokerage houses

5–15 people on corporate clients or high-value property. Complex policies, many documents, individual care. The CRM stores history, routes tasks by broker and keeps commission transparent.

Network brokerage companies

20+ agents across offices or a franchise model. Overrides, sliding scales, monthly bordereaux and regulatory reporting. Multi-tenant, per-office roles and an audit-proof commission engine.

How we build it

1. Stack — Next.js + PostgreSQL. Next.js for a fast, SEO-clean broker and client interface. PostgreSQL for the relational core — clients, policies, payments, commissions — with guaranteed consistency across hundreds of thousands of rows. EU hosting, daily backups, audit log on every policy change.

2. Document management with qualified e-signature. Upload, versioning and signing with a qualified electronic certificate directly in the browser. Templates for policy, endorsement, claim and power of attorney. OCR over scanned documents auto-fills fields.

3. REST API to multiple insurers. Connectors to insurers that expose public APIs and robotic parsers for those that only offer broker portals. Quoting, issuance and invoicing without double data entry.

4. Commission engine with config rules. Rules are declared in YAML, not hard-coded. "Motor product from insurer X — 12%, above 50 policies — 14%, 1% override to the manager." Editing the bordereau takes ten minutes, not a development sprint.

Frequently Asked Questions

Can it pull quotes from multiple insurers?

Yes. The system sends the enquiry parameters in parallel to every connected insurer via REST API. Insurers without a public API are reached through a robotic parser over their broker portal. The result is a comparison sheet in PDF in under sixty seconds, with premium, cover and excess for each. The client sees one version, the broker sees full margins.

How are commissions calculated?

The commission engine works on declarative config rules — percent per insurer, percent per product, sliding scale with thresholds, manager override and retro adjustments on cancelled policies. The engine calculates the commission automatically at issuance and reconciles it against the insurer bordereau at month-end. Mismatches are flagged in a dedicated reconciliation report.

Is there a client portal for policies?

Yes. Every client has a personal account showing all their policies — motor, property, health, life — with deadlines, premiums, documents as PDF and claims history. They can pay an instalment online by card, download a green card, request a renewal and chat with the broker. The portal reduces inbound calls by about 35%.

How much does a CRM for an insurance broker cost?

A starter configuration with policies, renewals, document flow and commission engine starts at EUR 3,800 one-off — no per-user monthly fees. With integrations to 5+ insurers, a client portal and online payments, the investment is EUR 6,500–12,000. Give us 30 minutes for a demo and you will receive a precise quote within 48 hours.
