Fleet Management System
Saitami's fleet management system unifies real-time GPS, fleet telematics, preventive maintenance and fuel consumption control in one operational core. We connect the telematics devices in your vans and trucks with a dispatcher screen, a driver mobile app and a manager dashboard — no monthly license fees.
What our fleet management system includes
Real-time GPS tracking and geofences
Vehicle coordinates every 5-10 seconds, 24-month trip history and geofences with enter/exit alerts. Multi-tenant access — the manager sees the whole fleet, dispatchers see their own region, drivers see only their current run.
Telematics — speed, acceleration, eco-driving
The fleet telematics stream detects speeding, harsh braking, sharp cornering and aggressive acceleration. We compute an eco-driving index per shift; the data later feeds a driver coaching module and a structured bonus scheme.
Preventive maintenance with reminders
A maintenance schedule by mileage and time — oil, brake pads, timing belt, annual inspection, road tax. The system notifies the manager 7 days before each due date, resets the counter after service and keeps a full per-vehicle history.
Fuel consumption per driver and route
We compare CAN-bus fuel data against theoretical route consumption and flag anomalies — siphoning, empty kilometres, fuel theft. Monthly report of litres per 100 km per driver and per vehicle, with seasonal trends.
Driver behavior scoring
A 0-100 score per driver across eco-driving, route adherence, idle time and harshness events. Monthly leaderboard, HR export and automatic bonus for the top 20%.
Fuel card and tachograph compliance
Shell, OMV, Lukoil and Petrol fuel cards bound to each vehicle and driver. For trucks over 3.5 t we read the digital tachograph (ToL compliance), archive files and alert on rest-period violations.
Who it is for
Transport companies
International and domestic carriers with 10-200 heavy trucks. Tachograph compliance, AETR rules, eco-driving coaching and per-destination fuel control — fuel spend drops 18-25% in year one.
FMCG distribution fleets
FMCG distributors with 20-80 vans on fixed routes. Customer-site geofences, unloading dwell time, per-driver KPI and automatic cost allocation to commercial lines.
Service fleets — HVAC and B2B
Service fleets for HVAC, lift maintenance, coffee-machine B2B operators and telcos. The fleet binds to a job-dispatch system — technicians see the next ticket, managers track response time.
How we build the platform for your fleet
1. Telematics ingestion layer
PostgreSQL with TimescaleDB hyper-tables for the telematics stream — tens of millions of points per month, no query degradation. An MQTT broker (Mosquitto or EMQX) accepts data from on-vehicle devices with QoS 1 and buffers on 4G dropouts.
2. Device drivers and REST API
Drivers for Teltonika, Ruptela, Queclink, Concox and Wialon-compatible units. For manufacturers without MQTT support we expose a REST API and a normalisation layer that unifies the payload. See our API integrations.
3. Driver mobile app
A React Native app — electronic waybill, pre-trip checklist, fuel-receipt scan and chat with the dispatcher. Works offline in tunnels and mountains, syncs on reconnect. See our mobile app development.
4. Web dashboard for dispatcher and manager
Next.js front end with MapLibre + OSM, a real-time panel over WebSockets and reports exportable to Excel and PDF. Role-based access — manager, dispatcher, mechanic, accountant. See our custom software development.

Frequently Asked Questions
Can it track fuel consumption in real time?
Yes. When the vehicle has a CAN-bus connector the system reads instantaneous litres-per-hour and accumulated tank volume through the FMS interface. We alert on sudden tank-level drops (possible siphoning), refuels that do not match the fuel card and consumption above the theoretical route value. Without CAN-bus we rely on an external tank-level sensor.
Which GPS and telematics devices does it support?
Native support for Teltonika (FMB, FMC, FMM series), Ruptela, Queclink, Concox and any Wialon-compatible device over MQTT or TCP. For manufacturers without an off-the-shelf adapter we write a custom driver in about 2-3 days. Vehicle tracking data from mixed devices is normalised into one format, so heterogeneous fleets work without friction.
Does it score drivers?
Yes — driver scoring on a 0-100 scale per shift. The algorithm weights speeding, harsh braking, sharp cornering, aggressive acceleration, idle time and route adherence. A monthly leaderboard is generated automatically; the top 20% are flagged for bonus and the bottom 10% for extra coaching. No manual tracking, no arguments over who drove what.
How much does a fleet management system cost?
A starter project for a fleet of up to 10 vehicles with base telematics devices, web dashboard and a driver mobile app starts from €4,800 one-off. More complex rollouts for 50-200 trucks with tachograph reading, fuel card integration with 3+ operators and ERP connectivity typically land between €14,000 and €38,000. No monthly license fees — you own the code on delivery.
