1. Map the membership rules
We document every tier, EUR price, period, discount, grace rule and exactly what each membership unlocks — areas, classes, events, voting rights. This surfaces the edge cases (family plans, corporate pro-forma, freezes) that usually break off-the-shelf systems.
2. Data model and billing core
We build the schema for members, subscriptions, invoices and transactions plus the billing engine for renewals and dunning — the same foundation as our recurring billing system: auto-invoicing, retry on declined cards and proration.
3. Portal, access control and payments
We build the member portal (profile, payment, freeze, invoices), integrate Stripe or a local PSP for EUR dues and connect a turnstile/controller via QR, RFID or PIN. Access syncs with membership status in real time — an overdue member does not get in, with zero front-desk action.
4. Notifications, reports and integrations
We configure email/SMS alerts for expiry and failed payment, build churn and revenue reports and connect accounting, email marketing or CRM via API integrations, so there is no manual data transfer between systems.
5. Migration, test and launch
We import existing members, active subscriptions and remaining periods from the old tool or Excel, run renewal and dunning test cycles on real data and go live with a parallel period where nothing is lost. After launch we tune grace rules and messaging against the real retention rate.
