Custom Courier Service Software

We build web-based systems for courier companies that bring shipment intake, dispatching, tracking, payments and reporting together in one place. It is suitable for local couriers, companies offering door-to-door delivery and operators who want their own processes instead of spreadsheets and disconnected software.

A dispatcher organises shipments and route sheets in a courier office.

What should courier software manage?

The system is designed around the way your company works. The dispatcher sees new requests, the courier receives their tasks, the customer gets notifications, and the accounting team has the necessary documents and reports.

ModuleWhat's included
Shipment intakeRequest from an operator, online form or online store; addresses, sender, recipient, size, weight, service and preferred time.
Assignment and routesAssignment by courier, area, shift or vehicle; task list, statuses and a map for route planning.
TrackingShipment movement history, status scanning or entry, delay reports and a public tracking page.
Pricing and paymentsCalculation based on zone, weight, size, service, additional fees and cash on delivery; marking deliveries as paid or unpaid.
Customer notificationsEmail, SMS or a message through a selected channel when an order is accepted, its status changes, delivery is approaching or an attempt is unsuccessful.
Invoicing and reportingInvoices, reports by customer, courier, area and period, cash-on-delivery payments, returned shipments, revenue and expenses.

Can the system connect to online stores and other courier companies?

Yes. Through an API integration, the online store can send orders to the courier system, which can return the status, price, waybill and tracking number. Depending on your needs, it can connect to payment services, accounting software, an ERP or CRM, maps, an SMS provider and external courier operators.

This means data is entered only once. For example, the address and phone number from the order are used when creating the shipment, notifying the recipient and preparing the cash-on-delivery report.

What does the workflow look like for different users?

RoleScreen and permissions
OperatorCreates shipments, corrects data, tracks statuses, speaks with customers and views the delivery history.
DispatcherAssigns tasks, arranges routes, monitors delays and responds to changes in real time.
CourierViews their deliveries on a phone, marks a shipment as collected or delivered, adds a note and records payment.
ManagerMonitors workload, turnover, results by area, problem deliveries and performance by customer.
AccountantReceives data for invoicing, cash on delivery, fees, payments and periodic reports.

What does a real project with dispatch logic look like?

In enTaxi, taxi dispatch system, we built a panel with real-time orders, a GPS map of vehicles, a call centre, zones, drivers and alerts. The logic is similar to courier operations: the request is accepted, assigned to a driver, tracked and managed by a dispatcher.

Another example involving trips, drivers, a fleet, customers, invoices and expenses can be seen in the demonstration system for international transport. In a courier project, these modules are adapted for parcels, addresses, time windows and deliveries to recipients.

What options can we build?

OptionSuitable forCore components
Internal dispatch systemA company that accepts requests by phone, email or from operatorsParcels, customers, couriers, routes, statuses, reports and roles.
Delivery system for online storesA courier with a steady flow of online ordersAPI, automatic parcel creation, waybills, tracking and notifications.
Platform for customers and partnersA courier company with business customers or subcontractorsPortals, contract pricing, requests, reports, invoicing and access control.
Mobile interface for couriersA team that works mainly in the fieldDaily route, navigation, a photo or signature on delivery, payment and offline operation when needed.

How do you determine the timeline and price?

First, we describe the process, roles, request sources, pricing rules and required integrations. Then we split the system into a core version and subsequent modules, so it is clear what is included in the first stage.

The estimated price range for this type of software is €3,000-€29,300. It includes the design and development of a custom system; the specific quote depends on the number of modules, roles, mobile interface, maps, notifications, automated invoicing, API integrations and migration of existing data.

The timeline is affected by the same factors. An integration with a ready-made API is usually planned differently from a connection to an undocumented system, while a mobile app, offline mode and complex routing rules require separate clarification.

How does development work?

  1. 01
    Understanding the process

We examine how a request comes in, who processes it, when it is assigned, how the delivery is tracked and how payments are completed. We define the roles and exceptions.

  2. 02
    Data model and prototype

We organise parcels, customers, addresses, couriers, vehicles, routes, prices, statuses and documents. We prepare a prototype of the key screens for approval.

  3. 03
    Development of the core modules

We build the admin panel, dispatcher view, user roles, price calculation, tracking and reports.

  4. 04
    Integrations and testing

We connect online stores, payment services, maps, notifications and external couriers. We test real-life scenarios, including a refusal, a returned parcel and an address change.

  5. 05
    Training and launch

We load the initial data, train the team and launch the system according to plan. We monitor the first operations and fix issues that arise during real-world use.

What do you need to prepare?

  • A description of the services, zones, prices and additional fees.
  • A list of roles and who can see or change what.
  • Examples of the requests, waybills, invoices and reports you use now.
  • Documentation and access details for the online store, payment services, maps and notification channels.
  • Rules for cash on delivery, refusals, returns, complaints and reporting to customers.

How do we start a conversation about your system?

Send us a description of your current process or an example shipment, from acceptance to completion. We’ll clarify which operations to automate first, which integrations are needed and what scope to include in the proposal.

For questions or enquiries, use the contact form. If you’d like to compare our approach with other systems we’ve developed, take a look at the portfolio and the page about API integrations.

Frequently asked questions

Can the courier software work with multiple online stores?
Yes. Each store can submit orders to a shared system via API or another agreed data exchange method. Rules for prices, services, customers and notifications can be configured for each specific store.
Can customers track their shipments?
Yes. There can be a public tracking page accessed by tracking number, as well as automatic notifications when the status changes. Access to personal data is restricted according to the user’s role and the relevant scenario.
How is cash on delivery managed?
When a shipment is created, the amount, payment method and responsible party are recorded. The system can display collected amounts, unpaid deliveries, returned shipments and billing details.
Can the courier work from a phone?
Yes. A mobile web interface or a separate app can be built, depending on your needs. The courier can view their tasks, update the status, add a note and record a delivery or payment.
Can data be migrated from Excel or an old system?
Yes, provided the data is accessible and its structure can be clarified. Before importing it, we check for duplicate customers, missing addresses, inconsistent statuses and other issues.
