Saitami ERP is the system our team works in every day. It is one system: contacts, deals, calls, emails, meetings, quotes, invoices and tasks are all in one place and connected to one another.
The queue prioritises the work. Every task carries its reason: an overdue promise, someone waiting for our reply, a hot lead, the money at stake in a deal, an open quote, a ready-to-send email. A team member opens the first one and moves forward task by task, with the system dialing calls automatically when they tell it to.
Calls take place in the browser. The conversation is recorded, transcribed within minutes and summarised; during the call, the screen shows what has been said so far, what has been promised and what to ask next. After the call, the system suggests the next step automatically: an email, a meeting or a quote.
Emails are prepared by AI according to the company’s rules: what can be promised, what cannot and how the company should sound. The team member reads, edits and clicks “Send”. Every reply we owe stays in the queue until it is sent.
Quotes, contracts, specifications and invoices are documents in the system with a public page: the client opens them, we can see when and where they were opened, the client accepts with one click, and the payment is recorded against the document. The deal knows how much it is worth and what has been paid.
Meetings have a recording and summary, whether they take place in the system’s meeting room, online or in person with a phone recording. The tasks left by the meeting come out of the summary.
Campaigns email new companies based on a measured reason: the system opens the company’s website, measures it and writes about what it has seen. The machine builds a system demonstration for every company that replies, and the team member sends it with the email.
There is an iPhone and Mac app with the queue, calls and notes. Team members have roles: who can see what, who approves what and who hands a task to whom.
