Custom Software Development

Dental software

Custom dental software is a program for a dental clinic or dental office: patients with records, photos and dental charts, doctors' and rooms' calendars, a treatment plan by visit, online booking with reminders, and invoices. It costs 3 000-29 300 €, most often around 8 600 € (based on 98 of our quotes as of 14 August 2026); we have offered online booking with a digital reception on its own for around half the price of the full system, and we deliver the first working version in 4 to 8 weeks. We show it live in the Dental clinic solution; we do not yet have a dentist client in our portfolio.

What it includes

  • Patient record

Examinations, images, dental chart, treatment plans, and prescriptions in one place.

  • Calendar

Appointments by doctor and by treatment room, with duration based on the procedure.

  • Treatment plan

Procedures by visit, what has been done, and what comes next.

  • Online booking and reminders

The patient books an appointment through the website and receives an SMS reminder beforehand.

  • Invoicing

An invoice for every service and card payments.

  • Access permissions

Reception sees the calendar, the doctor sees the patient record; every action is logged.

How the process works

  1. 1The patient books online or at reception and receives a reminder before the appointment.
  2. 2The doctor opens the patient record and treatment plan, records the examination and adds the images.
  3. 3Reception issues an invoice for the procedures performed and books the next visit.

Who it is for

For a dental office with one to three doctors and for a clinic with several rooms and a reception desk. The enquiry behind the solution came from a clinic offering dentistry and aesthetics, with two or three specialists, which wanted two or three reception workstations, schedules, records with photos, and a treatment plan generated automatically from the dental chart.

Most clinics that contact us initially want a website with online booking, not a full system. That is why we offer it separately: a clinic website with an appointment form in two weeks, an optional calendar showing available times with a booking management panel, and the full system when the practice grows into it. An off-the-shelf dental program works for a practice that only wants a patient database and calendar; a custom system makes sense when website bookings need to go straight into the doctor's calendar, when there are several treatment rooms, or when your process does not fit the ready-made program.

Reception and calendar

Reception sees one calendar for all doctors and treatment rooms. Appointments are scheduled by doctor and by room, with the duration filled in automatically based on the procedure: a check-up and an implant do not take the same amount of time. Patients can book through the website or in person, receive an SMS before their appointment, and no-shows appear in the report so they can be followed up.

The digital reception is a screen at the entrance where the patient checks in independently, together with an opening-hours status on the website. The solution includes both; you decide whether you need them.

The patient record

The patient record stores everything: personal details, examinations, X-rays and scan images, the dental chart, treatment plan, prescriptions, and payments. The doctor records the condition of each tooth on the chart, and the treatment plan is generated from it automatically: which procedures, across how many visits, and at what price. Every visit picks up where the previous one left off, so when doctors change, the new doctor sees the history instead of starting from scratch.

Access is role-based: reception sees the calendar and payments, the doctor sees their patients and their records, and the manager sees everything. Every access and every change remains in the log, including the data before and after. This also answers the question of who can access patient records: only those you have granted permission to, and always with an audit trail.

Procedures, consumables, and inventory

Every procedure has a price, duration, and inventory allowance: how much composite, how much anaesthetic, and which consumables. When the doctor marks a procedure as completed, inventory is reduced automatically, and the manager can see costs by doctor and by month, without a notebook. Materials with batch numbers and expiry dates are managed just like in our inventory systems: the items expiring first are used first.

Payments, invoices, cash register, and NZOK

An invoice is generated for each service based on the procedures performed, and we have connected card payments through Stripe in other systems. We have not yet connected a cash register to a live system: for a dental clinic, we have specified an integration with Datecs according to NRA requirements, but we list it in the quote as a separate line after checking the model, not as a promise.

We have not built reporting to the NHIF or electronic prescriptions so far. If your practice works with the Health Insurance Fund, reporting remains in the dental software, while we check the requirements, assess the integration separately and include it in the quote.

A website, online booking or the whole system

Three steps, each with its own price. A clinic website with services, team, gallery and appointment form: two weeks from receiving the copy and photos. Online booking with a calendar and dashboard where patients choose an available time and the team confirms it. The full system with patient records, treatment plans, stock and invoices, when the practice wants it. In our proposals for dental clinics, we have offered the digital reception with online booking for around half the price of the full system.

Start with what you need and add the next step in the same system, without changing programs and without transferring your patients a second time.

Timeline, data and support

We launch the first working version with a calendar, patient records and invoices within 4 to 8 weeks of the first meeting; a website with online booking takes two weeks. We transfer your patients and their history from your current program or from Excel before launch, so from day one you work with all your patients, not an empty database.

The system runs in the browser on every computer and phone in the clinic, with no installation and no per-seat fee. The data is stored on a server with us or in your account, with daily backups; the code and data are yours. After launch, we maintain the program for 100-350 € per month, if you wish. We specify what support includes in the proposal: hosting, backups, updates and phone support during business hours. A clinic that does not want a monthly fee pays only for the server annually and contacts us when needed.

What you gain

The treatment plan is in front of the dentist

Every visit picks up where the previous one left off, with the chart and images in front of you.

One calendar

Reception sees the available times for all doctors and treatment rooms.

Booking just works

An appointment made through the website goes straight into the doctor's calendar, and the patient receives an SMS.

We ask 2-3 specific questions and tell you the price range.

  3. 03

    We build a demo

For a website, store or software system, we build a demo made for you.

  4. 04

    We send a proposal

A written proposal with the exact price. We meet only to discuss the solution.
