How the process works

In brief: the GPS provider and the system around it
Saitami's fleet management system tracks vehicles, drivers, expenses, MOTs, insurance and vignettes with reminders, and displays the vehicles on a map from your GPS provider. The trackers and the map themselves come from the GPS provider, with a monthly subscription per vehicle.
A custom-built system makes sense when the fleet is part of the work: trips to clients, field teams, site expenses, driver deadlines and invoices. Then the vehicles are in the same system as the orders and people.
The deadlines the system tracks
A missed deadline means a fine or an uninsured vehicle, so the system sends reminders in time:
- Annual technical inspection for each vehicle.
- Third-party liability and comprehensive insurance, including instalments.
- Vignette or toll fee for each vehicle.
- Tachograph: data from the driver's card is downloaded at least every 28 days, and from the onboard unit every 90 days, in accordance with Regulation (EU) No 581/2010.
- A driving licence, driver card and medical certificate for every driver.
What we have built so far
Ekovat manages the fleet of a water and sewerage company with field teams, together with its requests, work orders and warehouse. In the taxi dispatch system and the Eco Taxi platform, vehicles and drivers appear on the map in real time, and each order is sent to an available driver in its zone. The transport company demo shows the fleet, routes and deadlines.

A fleet management system with vehicles, drivers, routes, expenses, deadlines and a driver app costs 3 000-29 300 €, according to our quotes. The subscription for GPS devices, if you want them, is paid to their provider. Support costs 100-350 € per month and is optional.
What we have not done so far
We have not integrated a system with GPS trackers, tachographs or fuel cards; so far, location data has come from the driver's app. If your provider offers an integration, we check it for compatibility before giving you a price.
